Reporting to: Payroll and HR Officer
Job Summary
To provide efficient, accurate, and confidential HR administrative support across the full employee lifecycle. The HR Administrator ensures that HR processes, records, reporting, and employee services are maintained to a high standard, supporting legal compliance and a positive employee experience.
Minimum Requirements

Matric

Diploma or Degree in Human Resources / Industrial Psychology / Business Administration would be advantageous

1 - 2 years of experience in an HR administrative role

Microsoft Office proficiency

Key Responsibilities and Deliverables
Recruitment Administration

Assist with the end-to-end recruitment administration process
-
Prepare and post job advertisements
-
Schedule interviews and coordinate with candidates and hiring managers
-
Conduct reference checks and background screening administration
-
Prepare offer letters and employment contracts
-
Ensure all recruitment documentation is accurately filed
Onboarding and Offboarding
-
Manage full onboarding administration for new employees:
-
Employee packs, contracts, policy acknowledgements
-
System access requests
-
-
Coordinate induction schedules and materials
-
Manage probation documentation and reminders
-
Administer the offboarding process:
-
Exit documentation
-
UIF documentation (UI-19, service certificates)
-
Exit interviews (admin coordination)
-
Termination system updates and file closure
-
Performance Management Support
-
Provide administrative support for performance review cycles
-
Track review deadlines and send reminders to managers
-
Prepare performance documentation and templates
-
Maintain performance records and filing
Training and Development Administration

Maintain training records and training matrix
-
Schedule internal and external training sessions
-
Coordinate training logistics (venues, attendance registers, materials)
-
Assist with tracking mandatory and compliance training
-
File training certificates and records
Employee Records and Filing
-
Maintain accurate and up-to-date employee files (electronic and manual)
-
File disciplinary records, warnings, and investigation documentation
-
Ensure POPIA-compliant storage of employee information
Employee Services and Benefits Administration

Assist with:

Staff loan administration
-
Staff purchase processes
-
Prepaid and cellphone contract administration
-
ESS (Employee Self Service) system support
-

Liaise with payroll on employee changes
-
Respond to employee HR queries in a professional and timely manner
Compliance and Statutory Administration

Prepare and manage UIF documentation
-
Maintain records required for labour law compliance
-
Support HR in audit preparation and compliance checks
Company Culture, Employee Engagement and Events

Assist with the planning and execution of:

Induction programmes
-
Staff teambuilding initiatives
-
Company events and wellness days
-
Culture initiatives
-

Coordinate logistics, communication, and attendance tracking
General Hr Support

Provide administrative support to the Payroll and HR Officer as required
-
Draft HR letters (confirmation of employment, warnings, etc.)
-
Support HR projects and process improvements
-
Maintain confidentiality and professionalism at all times
What Success Looks Like in This Role

Onboarding and offboarding processes are completed accurately, on time, and in line with company and legislative requirements.

HR data, employee records, and reports are consistently accurate, up to date, and audit-ready.

Managers and employees receive efficient, professional, and confidential HR administrative support.

HR processes such as performance reviews, training, ESS, and benefits administration run smoothly with minimal follow-up.

HR events, inductions, and engagement initiatives are well organised and professionally executed.

Deadlines are proactively managed, risks are flagged early, and opportunities for process improvement are identified.
