We are urgently seeking an Operations and Maintenance Contract Manager for a 6-month contract based in Sandton, Gauteng. The role involves coordinating, administering, and monitoring the procurement process in accordance with Procurement and the involved units, while supporting the O&M managers in managing the O&M Procurement Plan and its revisions.
Duties & Responsibilities:
- Plan, schedule, and present new needs, providing guidance on non-compliance or contractual discrepancies identified during the supply development.
- Manage and administer the application of contracts within the SPVs.
- Implement institutional contract policies throughout the contract management and administration processes.
- Review and enhance the adequacy of contracts, contract management processes, and contracting strategies to continually improve contract management.
- Administer O&M contracts, ensuring detailed knowledge and effective management of each contract.
- Serve as an interface with suppliers for planning aspects related to supplies/services, ensuring the planning and execution of activities, and providing feedback to the O&M teams.
- Manage formal communications to suppliers/service providers for specific projects, and oversee communications relevant to multiple projects.
- Support O&M managers in reviewing contract documents, analysing order progress, and initiating actions needed from suppliers/contractors.
- Track supply progress and transfer key data to monitor activity progress.
- Oversee contract accounting progress, verify invoicing status and actual costs, draft drawdown orders as per the manager’s instructions, and ensure compliance with AFC operational controls.
- Assist O&M managers with the collection and preparation of contractual documentation related to amendments.
- Upload purchase requests for all contracts related to the plants, update the SAP system for contract monitoring, and upload drawdown orders through SAP.
- Monitor the invoicing process, liaising with AFC to resolve discrepancies between invoiced amounts and actual activities.
- Maintain updated contract management documents (e.g., Change Order Request LOG, Project Correspondence LOG, meeting logs).
- Initiate and manage the timely renewal of contracts in line with procurement policies.
- Issue payment reports for internal use and contract status control.
- Act as a buyer to perform delegated purchases when required.
- Provide guidance to the O&M department on contract application.
- Evaluate and record contractor/supplier/service provider performance throughout the contract period.
Desired Experience & Qualifications:
- University degree or equivalent in contract management, law, or engineering.
- Minimum of 3 years’ experience in contract management or project administration is preferred.
Package & Remuneration:
- Salary: R47,500 per month (non-negotiable).
- Contract Period: 6 months fixed-term contract.
- Location: Sandton.
