Maintenance Service Contract Administrator

We are looking for a Maintenance Service Contract Administrator for a 6-month contract position in Sandton (Gauteng).

Duties & Responsibilities

  • Creation of Documents: Create purchase requisitions (PR), purchase orders (PO), and service entry sheets (SES) on SAP.
  • Payment Tracking: Update and monitor contract payment trackers. Ensure all invoices are processed on the EGP Finance tool (OIP) and that suppliers are paid on time. Raise tickets and follow up on outstanding payments.
  • Meeting Attendance: Attend AFC weekly meetings and support the O&M department in following up on outstanding invoices/SESs.
  • Invoice Management: Ensure all PO and SES are created by the 25th of each month and that all invoices are received from suppliers before the end of each month.
  • Tender Packages: Assist Contracts Managers in preparing procurement tender packages for all procurement contracts and ensure proper filing on EGP SA’s documentation management system.
  • Document Filing: Ensure proper filing of all contractual documents on EGP SA’s documentation management system, including contracts, monthly reports, contract amendment documents, invoices, and board resolutions.
  • Department Support: Support the Head of Maintenance Services in planning activities related to the maintenance services department (events, meetings, training, etc.).
  • KPI Monitoring: Support the OMI department in monitoring Maintenance Services KPIs, such as the use of Delegated Purchase, Supplier Performance Management, and Needs Planning on the Smart Planning tool. Follow up with relevant stakeholders on critical items to ensure compliance.
  • Additional Duties: Execute any other activities required by the Department’s Heads (O&M, OMI, Solar/Wind, etc.).
  • Work Environment: Support and work to improve and preserve the good working environment at office and plant sites.

Desired Experience & Qualifications

Education:

  • Diploma in Administration or equivalent.

Driver’s License:

  • Valid driver’s license.

Knowledge and Experience:

  • Proficiency in computer packages.
  • Experience in the electrical industry (advantageous).
  • Experience in contracts management (advantageous).
  • SAP experience or use of similar tools (essential).
  • Experience in Operation & Maintenance of power plants (advantageous).

Skills:

  • Team player, initiative, flexibility, results orientation.

Language:

  • Fluent English.

Requirements:

  • Availability for travelling.
